Clearances

What clearances do I need before starting placement?

 Clearance requirements depend on your course and whether you are a student or an apprentice. Most students will need the following:

  • DBS Check: You will receive instructions from Admissions.
  • Health Check: Spire Healthcare will contact you to arrange this.
  • Immunisations: Spire Healthcare will provide your immunisation schedule.
  • Mandatory Training:  Varies by course — please refer to your course team and handbook.
  • Code of Conduct Form
  • Overseas Police Check: Required for international students or anyone who has lived abroad. ³ÉÈËBÕ¾ AdmissionsC@worc.ac.uk for queries.
  • Professional Indemnity Declaration: Confirming whether you have registered or intend to register with a professional body.  This is mandatory for placements inside the independent and voluntary sector, including placements at GP medical centres.

You cannot start placement until all required clearances are complete.

What should I do once I receive my DBS certificate?

Take your DBS certificate to FirstPoint, where it will be recorded. Do this as soon as possible.

Can I use a DBS certificate from another employer or university?

Only if you registered for the DBS Update Service within 30 days of issue.
Otherwise, a new DBS is required.

I’m a Nursing/Midwifery student and haven’t completed all my entry requirements (e.g., English/Maths). What does this mean?

Students who have not met outstanding entry requirements by the end of Year 1 normally cannot progress to Year 2.

Placement Allocations

How are placements allocated?

The Placement Learning and Support Team (PLAST) works closely with course teams and placement partners to allocate placements across four academic schools:

  • School of Nursing and Midwifery
  • School of Health and Wellbeing
  • Three Counties Medical School

Allocations are based on several factors, including:

  • Course requirements
  • Travel time
  • Public/personal transport availability
  • Placement profile to date
  • Reasonable adjustments/occupational health recommendations
  • Placement partner capacity

Important: Please ensure your address and driver status are always up to date before placement allocations are released. The earlier you tell us about changes, the better we can plan.

When will I be notified of my placement?

PLAST aims to provide:

  • New students: at least 3 weeks’ notice
  • Continuing students: at least 6 weeks’ notice

These timeframes may vary depending on placement partner confirmation or external factors beyond our control.

You will receive an email from PLAST with:

  • Your placement release date
  • Instructions on how to view your placement in POW (Placements on the Web)

Please contact your placement area before your start date to confirm shifts and ensure any issues can be resolved in advance.

 

Can I request a specific placement?

Generally, no.  However, some programmes allow limited preferences. Course specific guidance applies.

Elective Placements

An elective placement is a short placement undertaken elsewhere in the UK or overseas.  Please refer to your course handbook or contact your course lead for further information.

What is an elective placement, and where can I go?

Some courses offer the opportunity to complete an elective placement elsewhere in the UK or, in some cases, overseas.

Key points:

  • Available at different stages depending on your programme
  • May last 2 to 12 weeks
  • Many electives count toward your total placement hours
  • Further information will be provided by your course team at the appropriate time

BSc Nursing

Students can express an interest for specific final placements in the area where they have accepted a job offer as a qualified nurse. Students can also apply for a short elective placement in the first half of their final year.

Nursing Associates

Nursing Associate students and apprentices cannot request specific placement areas.

Return to Nursing

You may indicate a preference for a type of placement experience rather than naming a specific area.  If this is not possible, suitable alternatives will be provided.

Midwifery (BSc and MSc)

Students cannot request specific placements. Midwifery placements are allocated according to a structured pathway designed to ensure:

  • Comprehensive clinical experience
  • Achievement of NMC-required proficiencies
  • Appropriate distribution across all midwifery practice areas

The placement pathway is shared with students at the start of the course.

Occupational Therapy and  Physiotherapy (BSc and MSc)

Final-year students are given an opportunity to submit placement preferences.
The Therapy Placement Team will communicate the process before Year 3 begins.

BSc Paramedic Science

Students cannot request alternative placements.

  • A West Midlands Ambulance Service (WMAS) Hub is allocated in Year 1 and normally remains your base throughout the programme.

Social Work (BA/MA/Apprenticeship)

Students may discuss areas of interest with proposed placement settings.
All students must complete one statutory placement.
Apprentices complete placements within their workplace, with additional opportunities arranged by the employer.

Physician Associate (MSc)

Students cannot request specific placements.

MBChB Medicine

  • Phase 1: Students cannot request specific placements.
  • Phase 2: Students complete a preference form ranking placement counties for Years 3–4. Preferences are considered during allocation.

BSc Nutrition and Dietetics

Placements are planned with the Course Leader or nominee.
Requests to change placement must be made via the course team.

Prescribing Programmes

Students will normally source their own placement.

FdSc Health and Social Care/FdSc Child and Adolescent Mental Health

Students will normally source their own placement, and the Work Based Learning Team: wblt@worc.ac.uk will also be available for support with identifying a placement area.

Self-Sourced Placements

Some courses require students to source their own placements.  Guidance is provided by course teams and work-based learning tutors:

Placement Allocations: Nursing

Where do I find the placement exchange form, and how do I complete it?

Students on the BSc Nursing and FdSc Nursing Associate programme may request a placement exchange with another student from the same cohort.

Students may exchange placements with a peer in the same cohort by:

1.      Completing the Exchange Form (Blackboard).

2.      Obtaining PAT approval.

3.      Submitting to PLAST.

4.      Awaiting confirmation from Practice Facilitators.

5.      Deadlines apply.

Placement exchanges are not guaranteed. Approval depends on several factors, including:

  • Completion of required proficiencies
  • Whether car use is required for the placement
  • Public transport availability, shift patterns, and travel times

Deadline dates for exchange requests are included in your placement release email. Requests submitted after the deadline cannot be accepted.

Placement Allocations: Midwifery

What are Complimentary weeks? (BSc Midwifery only)

Throughout the course, student midwives complete three Complementary Weeks designed to broaden clinical understanding through exposure to alternative practice areas. All weeks depend on placement availability and may be hosted by a different NHS Trust.

  1. Medical/Surgical Nursing Week – arranged by PLAST
  2. Alternative Midwifery Experience – arranged by the student
  3. Gynaecology Week – arranged by PLAST or the student (depending on Trust)

 

Complementary Week 1 – Medical/Surgical Placement (Mandatory)

  • One-week nursing placement in a medical or surgical setting
  • Scheduled between Semesters 3–6
  • Organised by PLAST
  • Takes place in your usual allocated NHS Trust

Complementary Week 2 – Alternative Midwifery Experience (Mandatory)

  • One week in a non-standard midwifery environment
  • Examples include breastfeeding support, antenatal classes, or teenage pregnancy services
  • Scheduled between Semesters 3–5
  • PLAST allocates the week, but students must arrange the placement area themselves
  • Course teams can advise on suitable options

Complementary Week 3 – Gynaecology Placement (Mandatory)

  • One-week placement in a gynaecological setting
  • Scheduled between Semesters 3–5
  • Arranged either by PLAST or the student, depending on the Trust

What is an Alternative Provider Placement? (BSc Midwifery only)

All BSc Midwifery students must complete a two-week placement within an Alternative Provider.

  • This is scheduled and arranged by PLAST
  • Occurs between Semesters 4–6
  • Designed to strengthen skills in leadership and management and to expose students to practice in a different NHS Trust

Placement Allocations: Paramedic Science

When will I receive my West Midlands Ambulance Service (WMAS) Hub allocation?

Paramedic Science students are allocated their WMAS Hub during Year 1, and this hub normally remains the student’s base throughout the entire course.

PLAST aims to notify students of their allocation towards the end of Semester 1.

When will I find out about my alternative paramedic (non-ambulance) placement allocations?

Throughout the programme, students complete a range of hospital and community placements in addition to the ambulance service. These alternative placements replace a WMAS ambulance week.

PLAST aims to provide at least three weeks’ notice, subject to confirmation from the placement provider.

How do I find out my WMAS shift pattern?

WMAS shifts are scheduled directly by your allocated WMAS Hub.
The Hub will contact you with shift information for each placement block.

How do I find out my shifts for paramedic alternative placements?

Shift information for hospital or community placements is available via ARC POW.

To view your shifts:

  1. Log in to ARC POW.
  2. Open the Placement Experience tab.
  3. Select your placement using the binoculars icon.
  4. View contact details under the ³ÉÈËBÕ¾s tab.
    • Scroll to locate the contact listed with “paramedic contact” in their job title—this is the relevant person for shift information.

Important:
Where possible, please contact the placement area at least two weeks before your placement begins. This allows time for staff to respond around clinical workloads, annual leave, and other pressures.

What should I do if I am scheduled for WMAS shifts and an alternative placement on the same day?

You must attend your alternative placement week.

How do I record my placement hours?

Most courses use POW electronic timesheets, including:

  • FD Assistant Practitioner / FD Apprentice Assistant Practitioner
  • BSc Diagnostic Radiography
  • MBChB
  • BSc and MSc Midwifery
  • BSc Nursing
  • Nursing Apprenticeships
  • FdSc and Apprentice Nursing Associates

Students on other programmes will use paper or digital portfolio timesheets—please refer to your course handbook or placement module guide.

How can I check how many placement hours I’ve completed?

The required number of placement hours varies by course. Please consult your course handbook.

You can view a running total of your hours on POW:

  1. Go to the Placement Experience tab.
  2. Click ‘Click here to view running total of all allocation hours’.
  3. A pop-up window will display:
    • Approved practice hours (by year and total)
    • Skills hours
    • EPLD hours

Important:
If you previously studied a Health course at the University or joined in Year 2 or at 50% step-on entry with RPEL hours, your total may have been calculated manually by PLAST.  In these cases, the POW pop-up may not reflect your full hours.

I am a Nursing student—what are the expectations for my placement hours?

In line with the Nursing and Midwifery Council (NMC) Standards for preregistration nursing programmes, all students must be able to demonstrate that they have experienced nursing care delivered across a 24hour, 7day service during their practice learning. This includes exposure to both weekend and nighttime care, where these form part of the service provided by the placement area.

  • To support students in meeting this NMC requirement, placements are normally organised to include a variety of shift patterns, reflecting the realities of registered nursing practice and enabling students to achieve the required proficiencies.
  • As guidance, students should normally be rostered to work one weekend in every four while on placement. This may be worked as two part weekends, depending on local rostering arrangements and learning needs.  This pattern is intended to support students in gaining experience of care delivery outside weekday working hours and to evidence exposure to 7‑day services.
  • For placements of longer than four weeks, students should normally be supported to complete one week of night shifts during the placement.  This guidance is designed to ensure students experience night‑time nursing practice and the different clinical, organisational and professional considerations that arise during out‑of‑hours care.
  • You may request specific days off before your placement starts (e.g., for family events).
  • Placement areas cannot alter shift patterns except for significant circumstances.
  • Any shift swaps should be arranged with another student, not by changing your own rota.
  • You must also consider the need to work alongside your supervisor/assessor.

If you repeatedly arrive for an incorrect shift (e.g., arriving on Thursday instead of Sunday), placement staff may send you home and ask you to return on your scheduled shift.

I submitted my POW timesheets, but they have not been approved. What should I do?

Timesheet approvers have up to one month to approve or reject timesheets before the link expires.

If your timesheet is not approved:

  • You may resubmit it to the same approver, or
  • Ask the placement area to identify a new approver and resubmit.

How many hours do I need to pass placement/what can I carry over/what do I need to pass?

Information about the placement requirements for your specific course, including the number of weeks/hours to be completed, can be found in the course documentation/handbook provided by the teaching team.

What happens if my hours on POW are incorrect?

You may edit timesheets until the status is marked APPROVED.
After this point:

  • Any amendments must be made by PLAST
  • Please submit a service desk ticket

Why are some hours missing from my total?

Common reasons include:

  • Unsigned or unapproved shifts
  • Missing timesheets
  • Study days that do not count toward placement hours

If you believe hours are missing in error, contact PLAST via the service desk. 

Do hours undertaken in an alternative placement count toward my total hours?

Yes.  Record these hours on your timesheet and ensure they are approved.

What is the maximum number of hours I can work?

Maximum hours depend on:

  • Your placement planner
  • Agreement from your placement area
  • Compliance with the Working Time Directive

International students should also check visa rules and seek advice from their course team or the International Office.

My timesheet approver is off sick or unavailable—what should I do?

Ask the placement area to identify an alternative signatory or speak to the Practice Facilitator.

I joined in Year 2 and was awarded RPEL hours—why don’t I see them on POW?

RPEL hours are recorded under the Skills/Sessions tab on POW.
Please allow PLAST a few weeks after you join the course to update your record.

Placement Results

I have failed my placement. What happens now?

If you do not pass a placement, a Practice Panel will review the issues related to your placement performance and determine the actions required for you to successfully continue your programme.

The panel will consider:

  • Placement performance concerns
  • Any submitted mitigating circumstances
  • Appropriate reassessment requirements

Most students/apprentices who fail a placement will be required to complete additional reassessment placement weeks. Confirmation of this will be provided after the Practice Panel’s decision.

I don’t understand my progression status at the end of the year.

Students must complete all components of the academic year—including theory, placement modules, and associated assessments—before progressing to the next level of study.

If you have questions about your progression, please speak with:

  • Your PAT
  • Your Module Lead
  • Student Records ( studentrecords@worc.ac.uk)
  • Your Progression Lead (Nursing students)

What if I submit mitigating circumstances after exam boards?

Submitting a mitigations claim after the exam boards have taken place can cause delays in confirming your progression.

Late progression decisions may affect your placement allocation.
This could result in:

  • A delay in receiving your placement details
  • A delayed placement start date
  • Limited or no placement availability within NHS Trusts (outside our control)

What should I do to avoid progression delays?

To prevent these issues:

  • Submit mitigating circumstances before the published deadlines
  • If you expect to miss a deadline, speak to your PAT or Student Records immediately
  • Nursing students should keep in touch with their Progression Lead
Regularly check your university email for updates about progression and placements.

How do I record my skills hours on POW?

Some courses require students to record skills session hours in POW, where these hours contribute to the total placement hours required for course completion. Your course team will confirm whether this applies to your programme.

To log skills hours on POW:

  1. Go to your POW homepage.
  2. Click on the ‘Simulated Practice’ button.
  3. Select ‘Add New Session’.
  4. Choose the relevant skills session from the list.
  5. Select the session approver (usually the tutor who delivered the session).
  6. Enter the hours and submit for approval.

Once approved, these hours will automatically be added to your overall placement hours on POW.

 Absence from placement

I’m absent from placement. Who do I need to notify?

If you are unable to attend placement, you must notify all relevant contacts as soon as possible.

You must:

  1. Inform your placement area directly
    • Ideally contact your placement assessor, educator, or supervisor.
    • If you cannot reach them, contact the ward/department using the information on POW.
  2. Update your electronic timesheet
    • Record the date and times of your absence on POW.
  3. International Nursing students only:
    • Email: isa@worc.ac.uk to report any absence.
  4. Depending on your course, you may also need to inform:
    • Your Academic Assessor
    • Your Personal Academic Tutor (PAT)

Paramedic Science students – who do I tell if I am absent from placement?

Paramedic students must notify the placement area for each individual shift you cannot attend, whether:

  • A WMAS Hub shift, or
  • An alternative placement (hospital/community)
You must also contact the Paramedic Practice Team: paramedicpractice@worc.ac.ukand log your absence hours on your POW timesheet.

Medical School students – how do I report absence?

In addition to informing your placement area and updating your POW timesheet:

  • You must complete the Medical School’s absence monitoring Microsoft Form for both planned and unplanned absences (placement and theory).
  • ³ÉÈËBÕ¾ the Medical School PAS Team if you need further guidance.

I have a pre-booked holiday that clashes with placement—what should I do?

Pre-booked holidays that affect placement or theory attendance must be authorised by your Course Leader.

Steps:

  1. ³ÉÈËBÕ¾ your Course Leader as early as possible.
  2. Request an Authorised Leave Form.
  3. Follow the absence reporting guidance on your Course Blackboard page.

I am unwell—how often do I need to update the placement area?

Students must notify the placement every day they remain unwell and unable to attend.

If illness lasts longer than 7 days, you must:

  • Obtain a GP sick note
  • Upload or send it to PLAST via the service desk:
    https://uwplast.sysaidit.com/servicePortal

Can I make up lost hours after an absence?

Possibly. This depends on:

  • Placement capacity
  • Safety and supervision levels
  • Your overall progress

You may be able to:

  • Attend extra shifts in your current placement (discuss with the placement area), or
  • Make up hours in your next placement

If this still isn’t enough, your course team or Practice Panel may schedule additional placement weeks.

Why does my absence still show on POW even though I made up the hours?

Absence records must remain visible as part of your formal training record.
Even after making up hours:

  • Absent shifts stay listed, but
  • Your overall hours will reflect all additional approved time worked.

I need to take compassionate leave, what should I do?

Please:

  1. Inform your placement area
  2. ³ÉÈËBÕ¾ your PAT
  3. Enter your absence on your POW timesheet selecting the Compassionate Leave absence category.
  4. Submit a ticket to PLAST if you require advice or support:

Your course team will advise on what evidence is required and how to manage any impact on your hours.

I studied a previous course at the University. Will previous absences show?

No. Absence records do not carry over from previous programmes.

I did a previous course at the university, do those hours count?

This will depend on the course you attended and your Worcester University course. Some courses will give you recognition of prior learning (RPL) and this will have been confirmed to you by the Admissions Department.

Do hours from my previous course count toward my new course?

This depends on your new programme.

If Recognition of Prior Learning (RPL) hours have been granted:

  • Admissions will confirm this during enrolment
  • RPL hours will appear on your POW Skills/Sessions tab
  • Please allow PLAST a few weeks after starting for these to be added

Problems on Placement

I am having issues in my placement setting — what should I do?

If you experience any problems during placement, please seek support as early as possible.  Depending on your course, you may find additional guidance in your course handbook or Blackboard.

You have several options for raising concerns:

1. Speak with your placement area:

  • Your supervisor, assessor, or educator is often the best first point of contact.
  • Many issues can be resolved quickly through open discussion.

  • Academic Assessor (Nursing & Midwifery)
  • Personal Academic Tutor
  • Practice Facilitators
  • PLAST via the service desk →

3. Therapy Students (OT and Physiotherapy):

I can’t get to placement on time, what should I do?

If you are delayed or experiencing travel difficulties:

  1. ³ÉÈËBÕ¾ the placement area immediately
  2. If the issue is ongoing, contact:
    • Your course team
    • Practice facilitators (Nursing/Midwifery/Nursing Associate)

Please seek help early if travel becomes a persistent issue.

Who is my placement assessor/educator/supervisor?

Terminology varies across professions (e.g., practice assessor, educator, supervisor).

Your placement area will tell you who your main point of contact is.
Where the information has been provided to PLAST, it will appear under the ³ÉÈËBÕ¾s tab on POW.

Please do not contact supervisors who support other programmes, as they will not be able to help.

Placement staff are often extremely busy, so please allow a few days for replies.
Submit a PLAST ticket if you are unsure:

I have mitigating circumstances, what should I do?

Submit a claim via SOLE/MyDay or email: mitcircs@worc.ac.uk
Your PAT or course team can advise if you need help submitting your claim.

I can’t achieve all my competencies/proficiencies on this placement. What should I do?

Discuss your concerns with:

  • Your placement/practice assessor or educator
  • Your academic assessor
  • The course team

They will help you identify opportunities in your current placement or plan how outstanding proficiencies will be completed.

I have observed poor practice — who do I report it to?

Please refer to your Speaking Up / Raising Concerns in Practice flowchart on Blackboard.

 Professional Body Registration

I am a student nurse/midwife/nursing associate. When can I register with the Nursing and Midwifery Council?

You can register with the NMC once you have:

  1. Completed all academic course requirements, and
  2. Met all NMC requirements, including:
    • Required number of clinical hours
    • Night duty requirements (where applicable)
    • Birth numbers (Midwifery students)
    • Completion of all proficiencies and assessments
  3. Completed the finalist Microsoft forms emailed to you by PLAST

PLAST will:

  • Verify your placement hours and NMC requirements
  • Confirm you have met all practice components
  • Receive the final ‘Pass List’ from Registry confirming your academic completion
  • Email you with the required Finalist Documentation, including your NMC PIN confirmation form

More information will be provided at your cohort’s Finalist Event.

What do I need to do to register with the NMC?

You will:

  1. Receive the final registration documents from PLAST.
  2. Complete and upload all required forms as instructed in the email.
  3. Wait for PLAST to review your forms.
  4. PLAST will then create a data upload report and submit it to the NMC portal.
  5. The NMC will contact your Course Leader to confirm your good character and suitability for registration.
  6. The NMC will send you your registration pack, prompting you to:
    • Complete your online application
    • Pay your registration fee

Batch upload dates (when PLAST sends information to the NMC) will be published on Blackboard.

Additional details will be shared at the Finalist Event.

My professional body is the HCPC or the GMC. How will my registration be processed?

For students in professions regulated by the Health and Care Professions Council (HCPC) or the General Medical Council (GMC):

Once you have:

  • Passed all placements
  • Completed all academic requirements
  • Appeared on the official exam board pass list

Registry Services will process your professional body registration.
They may contact you if additional details or documents are required.

 Placement Travel Expenses

Eligibility criteria

Students who meet eligibility criteria for the NHS Learning Support Fund (LSF) may be able to claim reimbursement for some travel and accommodation expenses incurred while attending placement. This support is provided through the Travel and Dual Accommodation Expenses (TDAE) scheme.

This support applies to home students in the following professions:

  • Nursing, midwifery, and allied health students
  • Medical students on the MBChB programme (via a separate process)

Nursing, Midwifery, and Allied Health Students

All information regarding the NHS LSF— including eligibility, travel and accommodation rates, and instructions on making a claim—can be found on the official NHS LSF webpages. 

Students submit claims online through their NHS LSF account.
PLAST is required to check claims for accuracy before they are forwarded to NHS LSF for processing.

Students considering taking dual accommodation must contact PLAST before booking any accommodation.

Where do I find the travel claim forms (Nursing, Midwifery, Allied Health)?

Where do I find travel claim forms (Medical students)?

Medical students must download the TDAE claim form from:

What evidence do I need?

You must upload receipts with your claim. These may include:

  • Parking permits
  • Bus or train tickets
  • Fuel receipts (if applicable)

Tip: Take photos of receipts immediately in case the originals are lost.

How long will payment take?

Once PLAST has checked and submitted your claim, NHS LSF normally takes around 20 working days to process payment.

What car insurance do I need for placement travel?

Your insurance policy must include:

  • Commuting to placement
  • Business mileage, if you drive during the day to visit service users

You must complete a Driver Indemnity Form showing you are either:

  • The main driver, or
  • A named driver on the policy

Can I claim for accommodation or car hire?

Yes — but only if daily travel is not practical.
You must contact PLAST before your placement begins to request approval.

Can I take patients in my car?

No. Students must never transport patients or service users.

What if I am not eligible for TDAE?

You may still submit a Driver Indemnity Form if you are using your car.

I cannot share my PebblePad, what should I do?

If you plan to temporarily withdraw:

  1. Complete the withdrawal process on SOLE.
  2. Speak with your course team about:
    • Implications for your studies and placements
    • What you will need to complete upon your return

I am returning from temporary withdrawal – what are the next steps?

  1. ³ÉÈËBÕ¾ Student Records to re‑register.
  2. ³ÉÈËBÕ¾ your course team to confirm your return date and upcoming modules/placements.
  3. PLAST will send you a Returning to Practice DBS/Health Declaration Form, which you must complete before resuming placement.

Retrieval Placements

Am I due a retrieval placement? When will it be arranged?

Retrieval placements are decided and managed by your course team, not PLAST.

  • Speak with your PAT or Academic Advisor (AA).
  • If a retrieval placement is required, this will be confirmed through a Practice Panel.
  • Your course team will then pass the details to PLAST to arrange the placement.

Placement Extensions

I think I’m behind on my placement hours and need an extension. What should I do?

Placement extensions cannot be approved by PLAST.
You must:

  1. Discuss your hours with your PAT, AA, or Course Lead.
  2. If they confirm that an extension is appropriate, they will inform PLAST.
  3. PLAST will then arrange the extension based on course team approval.
